Studio Policy

Effective Date: June 6, 2025

Membership Terms

Commitment: Monthly memberships require a 3-month minimum.

Renewal: After the initial term, memberships continue month-to-month and auto-renew unless canceled.

Cancellation: A 30-day written notice must be sent to support@pilotepilates.com before your next billing cycle. Canceling before the 3-month minimum incurs a $50 early termination fee.

Freeze / Hold: Memberships may be placed on hold for a minimum of 30 days and a maximum of 2 months per calendar year. Holds begin only on the dates confirmed in writing to support@pilotepilates.com.

Credits: Unused credits do not roll over into the next cycle.

Additional Sessions: Extra classes can be purchased at the member rate.

Payment Authorization: By purchasing a membership, you authorize recurring charges to your payment method until cancellation is submitted in writing per policy.

Class Cancellations & No-Shows

Group classes: cancel at least 12 hours in advance.

Private sessions: cancel at least 24 hours in advance.

Cancellations must be made through your online account (not text, email, or social media).

Late cancellations result in loss of credit.

Unlimited members are charged a $20 fee for late cancels or no-shows.

Studio-Initiated Cancellations

Classes may occasionally be canceled due to instructor illness, emergencies, or circumstances beyond our control.

If a class is canceled by Pilote Pilates, clients will not be charged, and credits will be returned.

Unlimited members will not be penalized.

Pilote Pilates is not responsible for costs, losses, or inconvenience caused by cancellations.

Holiday Closures

Pilote Pilates may close or operate on a limited schedule during major holidays.

Any affected classes will be removed from the schedule in advance.

Memberships and packages are not extended or credited for holiday closures.

Substitute Instructors

Pilote Pilates reserves the right to provide substitute instructors as needed.

Instructor substitutions do not qualify for refunds or cancellations.

Weather & Emergency Closures

In severe weather or emergencies, the studio may close or cancel classes.

Credits will be returned, but Pilote Pilates is not responsible for related costs or disruptions.

Attendance & Punctuality

Classes are 50 minutes. Please arrive early.

Entry is not permitted more than 5 minutes after class begins.

Health & Safety Waiver

All participants must sign a health waiver before their first class.

By attending classes, clients acknowledge the physical nature of Pilates, assume responsibility for their health and safety, and release Pilote Pilates, its owners, and instructors from liability to the fullest extent permitted by law.

Minimum age: 16 years. Under 18 requires parent/guardian consent.

Pregnancy Policy

Clients who are pregnant must notify their instructor before class.

We strongly encourage medical clearance from a healthcare provider before participating in Pilates during pregnancy.

Instructors may provide safe modifications, but it is the client’s responsibility to listen to their body and exercise within their limits.

Pilote Pilates is not responsible for complications that may arise from participation during pregnancy.

Please also review and sign the Health & Safety Waiver, which includes important terms related to pregnancy and exercise

Booking & Waitlist
A valid class credit or membership is required to join the waitlist.

If a spot becomes available, you will be automatically added and notified by email.

Cancellation rules apply once added from the waitlist.

Payments & Refunds

All sales are final.

Packages, sessions, and memberships are non-transferable and non-refundable.

Exception: With a valid doctor’s note, memberships may be placed on an extended hold beyond the standard 2-month limit

Studio Etiquette & Conduct
  • Grip socks are required (available for purchase at the studio).

  • Phones must be silenced before class.

  • Pilote Pilates is not responsible for lost or stolen belongings.

  • We maintain a respectful and supportive environment. Disruptive or inappropriate behavior may result in suspension or termination of membership without refund.

Safety & Equipment Use
  • Clients must use Pilates equipment only as instructed.

  • Misuse of equipment or failure to follow instructor guidance may result in removal from class for safety reasons.

Photography & Media

Pilote Pilates may occasionally capture photos or videos for promotional use.

Personal photography or recording is permitted only with written approval

Pets

Pets are not permitted, except for certified service animals.
